We are working exclusively with a privately-held investment management company to identify a Legal Administrative Assistant for their in-house legal team. The company oversees a diverse portfolio of successful businesses and is known for its collaborative environment, long-term employee retention, and commitment to excellence.


With a team of 6 attorneys and one paralegal, this is a rare in-house opportunity offering direct exposure to corporate/M&A legal matters, process improvement, and enterprise operations .

You’ll work closely with high-level counsel across a portfolio of diverse operating companies in a team-oriented and modern workplace headquartered in Philadelphia. The team values professionalism, precision, and a positive, can-do attitude.


This is a hybrid position with a weekly schedule of three days in the office (Tuesday through Thursday) and two remote days. The team offers half-day summer Fridays and a generous benefits package that includes 100% employer-paid medical coverage for the employee.


NOTE: The previous person in this role was recently promoted internally, creating a strong growth story behind the seat. This is not your average admin role.


Key Responsibilities

  • Document Preparation: Prepare, format, edit, and proofread legal documents, spreadsheets, and presentations
  • Correspondence: Draft basic correspondence and routine legal forms under attorney direction
  • Calendar Management: Maintain calendars and coordinate internal and external meetings
  • Travel Coordination: Arrange domestic and international travel, including flights and accommodations
  • Billing & Expenses: Track legal billing, expenses, reimbursements, and vendor invoices using SimpleLegal and Concur
  • Counsel Support: Assist with outside counsel engagement letters and support audit-related documentation
  • Records Management: Maintain corporate records using hCue and Entica
  • Internal Platforms: Coordinate internal communications and manage SharePoint and Teams channels
  • Compliance Reporting: Organize monthly reports and compliance-related materials
  • Administrative Support: Provide general administrative support including digital and physical filing, scanning, and document execution via DocuSign


Qualifications

  • Experience: At least 5 years of experience supporting attorneys or paralegals
  • Legal Background: Strong background in corporate legal departments or M&A environments preferred
  • Tech Proficiency: Highly proficient in Microsoft Word, Excel, Outlook, PowerPoint, SharePoint, and Teams
  • Systems Knowledge: Experience with billing and document management systems strongly preferred
  • Organization: Highly organized with strong follow-through and the ability to manage multiple priorities
  • Team Fit: Team-oriented, detail-focused, and able to work independently with minimal supervision
  • Education: Bachelor’s degree or paralegal certificate preferred
